Grant Overview
Oklahoma’s Local History Digital Archive Project limits eligibility to institutions holding physical collections located within state boundaries. Public libraries, county historical societies, and tribal cultural centers must demonstrate ownership or a formal deed of gift for at least 5,000 pages or 200 photographs dated before 1960. Private collectors may participate only as donors; they cannot serve as lead applicants. Digitization must follow the Oklahoma Department of Libraries’ 2021 technical specifications for 400-dpi master files and embedded Dublin Core metadata.
Budget restrictions cap hardware at 25 percent of total project cost, with scanners required to meet FADGI three-star minimums. Hosting must occur on servers contracted through the state’s Office of Management and Enterprise Services or an approved tribal IT authority. All metadata must be exported in CSV format compatible with the Oklahoma Digital Prairie aggregator on a quarterly schedule.
Oklahoma’s 77 counties contain 39 distinct historical societies, many operating on annual budgets below $25,000. Applicants must therefore provide a letter from the county commissioners confirming that the digitized materials will remain accessible without subscription fees for at least ten years. Projects that focus exclusively on Tulsa or Oklahoma City collections receive lower priority unless they also include materials from at least two rural counties east of the Cross Timbers or west of the 100th meridian.
